Hosting a fundraising gala is a big job! And while it can be a lot of fun planning your gala’s theme, selecting invitations, and strategizing the best ways to excite and engage your donors, it can also feel like a large task that involves quite a few details and a lot of organization.
Today, we’ve put together what are generally considered to be the most important elements for success when it comes to nonprofit fundraising galas. We deem a gala to be “successful” when it is well-attended, donors have a great time, and you meet your fundraising goals.
Plus, in this article, we’ll look at a couple Philantopia clients who have recently hosted galas and share some of their success strategies for inspiration.
What Kind of Gala are You Hosting?
Galas generally fall into a few broad categories:
Black-Tie Galas are typically very formal, sit-down dinners with multiple courses. The event will likely include a guest speaker and live music.
Fundraising Balls are still formal and often include dinner, but they may take things a step further and invite guests to party on the dance floor.
Themed Galas incorporate a fun theme, like “Under the Sea”, “Walk the Red Carpet”, or “Taco Tuesday.” Check out some more theme ideas here.
Awards Galas will also carve out time to recognize people who have contributed to the nonprofit in a significant way, whether they are donors, volunteers, or staff.
Golf Tournament Galas typically follow a day of golf, which many donors love! The chance to mix and mingle after a day on the links can be popular.
Whatever kind of gala you are hosting, there are several key elements that you must have in place to meet donor expectations. Let’s dive in.
Choose an Appropriate Yet Exciting Venue
Your venue alone can get a donor excited to attend the gala, so make sure you choose a location that feels interesting and current. Of course, you’ll want to make sure that the venue also meets your logistical needs. Consider whether the venue…
- Has enough space for the number of people you anticipate attending. At the same time, make sure it’s not too big — large empty spaces can feel cold and alienating!
- Is relatively easy to get to for most of your donors. A cool barn out in the country might sound like fun… until it dumps snow and your donors have to travel an hour on icy roads to get there.
- Meets your catering needs. If you’re serving food, be sure that the venue can handle catering needs and offers things like refrigeration, a sink for washing, etc.
- Can provide basic amenities. If the location already has tables and chairs, it means you won’t have to rent them.
- Is accessible for those with special needs. Does the venue offer wheelchair ramps and parking spaces? And is there enough parking for everyone you imagine attending?
The right location will feel cozy (but not crowded and stuffy), will feel impressive (but not overwhelming), and will delight your attendees.
Hire the Right Entertainment for your Event
Although your event will no doubt include fundraising activities such as paddle raises, silent auctions, and raffles, you’ll also want to make sure that people are feeling light-hearted and having a great time at the event. Choosing the right entertainment is a fabulous way to stack the deck in your favor in this regard.
Consider bringing in live music or a popular local DJ that appeals to your donor base demographic. You may also look for performance acts that will keep the audience engaged, such as a dance troupe or even a magician! Some nonprofits hire comedians to come in and “warm up” the audience, and others may entice their guests with a notable guest speaker to come and share insight.
Back in January, the Dare Education Foundation in North Carolina hosted a Dueling Pianos fundraising gala, which turned out to be a lot of fun! The event, which also included dancing, cocktails, and an auction, was a total hit with the donor base. In fact, it was the second year they’d hosted the Dueling Piano event because it was so popular last year. Be Selective and Smart When Choosing Your Catering
Well-fed donors are happy donors, and happy donors are generous donors! Make sure that you’re thinking about the scrumptious food you plan to serve at your event and talk to several catering companies to get an idea of pricing options. It’s not always true that the most expensive food is the best — or the right food for your particular event.
If you’re hosting a black-tie gala that includes a sit-down dinner, you’ll definitely want to think about offering several courses, including appetizers and dessert. Loudoun Habitat for Humanity did this in March, when they hosted their elegant black tie gala, Raise the Roof. They focused on bringing guests the most delicious and beautiful experience, which also included a getaway to Tuscany from Philantopia as part of their fundraising auction.
However, if you’re hosting a more laid-back gala, perhaps with an all-American theme, burgers and fries might be perfect for your donors! One nonprofit car museum switched from high-end catering to BBQ when they realized that their donors would rather be at an afternoon cookout in jeans and a t-shirt than a formal sit-down dinner event. Their donors loved it and they actually ended up raising more money because they were more tuned into their donor base.
Think about your donors and what they would really love as you consider the dining options for your upcoming gala.
Focus on the Fun
No matter your theme, no matter your donor demographics, and no matter how big or small your nonprofit, focus on creating a fun experience for your donors and you will have a big success on your hands!
